What an ATS actually sees
The first thing every ATS does is convert your file into machine-readable text. PDFs go through OCR + structured layout extraction. DOCX files go through XML parsing. Anything fancy — two-column layouts, text boxes, headers/footers, embedded SVGs, custom icons — gets stripped, garbled, or skipped entirely. The output is a plain block of text the recruiter never sees, but which the ATS scores against the job description.
The 14 rules that survived our parser tests
- 01Use a single-column layout.Two columns confuse every parser we tested. Skills end up interleaved with experience. Workday is the worst offender.
- 02Stick to standard section headers."Experience", "Education", "Skills", "Projects". Custom labels like "My Story" or "What I'm About" fail keyword detection.
- 03Avoid text boxes, tables, and frames.DOCX text boxes survive ~40% of parses. Plain paragraphs survive 99%.
- 04Use real bullet characters (• or -), not custom Wingdings.Icon fonts render as random Unicode in the parsed text.
- 05Save as PDF (text-based, not scanned).Avoid "Print to PDF" from images — the result is an image with no text layer. Greenhouse rejects these silently.
- 06Keep contact info in the top 1/4 of page 1.Most parsers stop scanning for email/phone after the first 800 characters.
- 07Spell out everything once."SaaS" alone won't match the keyword "software as a service". Use both.
- 08Date format: "Jan 2024 – Mar 2026".Numeric formats (01/24) get misread as IDs. Spelled-out months win.
- 09Don't put dates in the left margin.Workday tries to associate dates with the previous line, not the next. Put role first, then dates on the same line.
- 10Avoid headers and footers for important info.60% of parsers ignore header/footer content entirely.
- 11One job per role block. No "Multiple Roles" entries.Each role title needs its own start/end dates for the parser to understand tenure.

Common myths we still see
"You need to put white-text keywords to fool the ATS" — false. Modern ATS strips invisible text in pre-processing and may flag the resume as suspicious. "You should use a creative design to stand out" — also false. Creative design fails parsing; you stand out by being one of the 1% that survives parsing AND has quantified bullets. "Two pages is automatic rejection" — false for senior roles. Most parsers handle 2-page PDFs fine.
How to test before you submit
